What we collect
We collect information you give us directly, and a small amount of technical information collected automatically.
- When you book a discovery call or make an enquiry: your name, firm name, email address, phone number (if given), and what you tell us about your business and challenges.
- When you browse the site: standard technical data such as your IP address, browser and device type, and the pages you visit. We don't currently use any analytics or marketing cookies; see Cookies below.
- If you book a time through the calendar booking option: the details Google Calendar's booking page asks for (typically your name and email), handled directly by Google under its own privacy policy, not by us.
- If we start working together: further business information needed to deliver and manage the engagement, such as the systems and data your project involves. This is covered separately in our client agreement.
Why we collect it, and our lawful basis
| What | Why | Lawful basis |
|---|---|---|
| Enquiry form details | To respond to your enquiry and arrange a discovery call | Consent, given by ticking the form's contact box |
| Enquiry form details | To follow up about our services if your enquiry doesn't lead to an immediate call | Consent |
| Technical data | To keep the site working securely | Legitimate interest |
| Client project data | To deliver, manage and invoice an agreed engagement | Performance of a contract |
Where we rely on consent, you can withdraw it at any time by emailing jen@zella-studios.com. This won't affect anything we did before you withdrew it.
Who we share it with
We don't sell your information. We share it only with the tools and people needed to run the business and deliver our services:
- Web3Forms, to process enquiry form submissions and deliver them to us by email;
- Vercel, to host this website;
- Google (Calendar and Workspace), for direct call booking and to receive and manage enquiry emails.
Each of these is bound by its own data protection obligations, and we only give them the access each workflow actually needs. We'll update this list if we add or change any of these tools.
Some of these providers store or process data outside the UK or EEA. Where they do, we rely on the safeguards each publishes for this, such as the UK's International Data Transfer Agreement or the EU Standard Contractual Clauses. You can ask us for details of the specific safeguard a provider uses by emailing jen@zella-studios.com.
How long we keep it
We keep enquiry details for 24 months from your last contact with us, in case you get back in touch, after which we delete or anonymise it, unless you ask us to delete it sooner. Client project data is kept for the length of the engagement plus any period required by law, for example for accounting or tax purposes.
Cookies
This site doesn't currently use any analytics, advertising or tracking cookies. The only thing we store is your cookie preference itself (via your browser's local storage, not a tracking cookie), so the banner doesn't show again once you've made a choice. If we add analytics in future, such as Google Analytics, we'll only load it after you've chosen "Accept all" on that banner, and we'll update this section to name the tool and what it does.
If you book a call through the "Book a time directly" option, that calendar is a Google Calendar page loaded inside this site. Google may set its own cookies on that page under its own cookie and privacy policies, which we don't control.
Your rights
Under UK GDPR, you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that's inaccurate or incomplete;
- ask us to delete your information, in some circumstances;
- ask us to restrict or object to how we use your information;
- ask for your information in a portable format, where technically feasible; and
- withdraw consent at any time, where we're relying on consent.
To exercise any of these rights, email jen@zella-studios.com. If you're not happy with how we've handled your information, you also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
Security
We use reputable, access-controlled platforms and limit access to personal information to the people and systems that need it. No method of transmission or storage is completely secure, but we take reasonable technical and organisational steps to protect your information against loss, misuse and unauthorised access.
Changes to this policy
We may update this policy from time to time, for example as our tools or services change. We'll update the date at the top of this page when we do.
